Sage 100 Must Have Premium Maintenance Plans

When working with Sage 100 Premium, you've got a powerful engine running your business operations. But just like any engine, it needs regular care to keep it running smoothly. That's where maintenance plans come in, and there are a couple that are essential to ensure your Sage system stays in top shape. By teaming these plans up with SQL Server Alerts and Email Notifications, you can be like a super-smart mechanic who spots a potential problem before it even happens. Let's dive into what these maintenance plans do and why they're so important.

Reindex & Update Statistics Maintenance Plan

Imagine you’re in a library with thousands of books. If those books aren't well-organized, finding the one you need can take forever. That's how your database feels when it's not reindexed regularly. The maintenance plan Index Rebuild, is like tidying up the library, making sure all the books (in this case, your data) are in the right place, so when you need information, your database can find it super quick. This task also makes sure there's enough room for new books, or data, to be added without squishing things too tight.

The other part of this plan is like having a super-smart library assistant, which is the Update Statistics task. This assistant keeps track of which books are popular and how they are spread out in the library. With this knowledge, the database can make smart choices about how to get the data you need efficiently.

You might wonder, how does data get disorganized? Just like a library with people checking out books and returning them, your data is constantly being updated throughout the day. New Orders and Invoices along with many other moving data, are entered in each day and the modification of that data can get fragmented.

Database Maintenance Plan

The second must-have plan is like a regular health check-up for your database. The Check Database Integrity task is the doctor here, looking through all the data and index pages, which are like the detailed records and contents of the books. This check-up makes sure there are no mix-ups or mistakes, ensuring everything is consistent and correct. If there's something off, like a page out of place, it'll catch it before it becomes a bigger issue.

  1. Each of these tasks can be created easily and put on a schedule within your SQL Server. In SQL Server Management Studio > Management >, Maintenance Plans. Right click on Maintenance Plans and select “Maintenance Plan Wizard” to begin setting up.

  3. Then Select which databases. For Sage 100, choose your production company's 3-digit code and MAS_System. To create a schedule, select “Change” in this window.

NOTE:  It’s recommended to have the tasks run by themselves once a week. Example would be
Friday night run the Rebuild Index, and Saturday run the Update Statistics.

By having these plans in place and combining them with alerts that tell you when something's not quite right, you're setting yourself up for success. It's like having an early warning system that tells you there might be a problem with how the data is stored or handled. Additionally, with email notifications, you get the message wherever you are, allowing you to act quickly, just like getting a notification on your phone about an important email.
