Sage 500 ERP Tips & Tricks: Message Suppression

Sage 500 ERP has several messages that appear during processing that are warnings to the user. However, once a user is comfortable with the process, they may choose to simplify the workflow by suppressing a given message. Once a user does this, they system will no longer prompt them with the warning going forward.

There are times when it may make sense to reset the message suppression such that the warning prompts the user again. This could be that the user mistakenly dismissed the warning or the user is using a given process after a long time away. Whatever the reason, we will show how you can clear the message suppression and prompt the user with the warning again.

What are examples of warning messages in Sage 500 ERP?

Sage 500 ERP has several messages in the system that could prompt the user to allow for message suppression. We will show two of these here.

First, if a user is completing an inventory transaction that includes a Lot Tracked Inventory Item, the system will prompt the user if they indicate a Lot Expiration Date that is different from the currently established Lot Expiration Date for the lot. Figure 1 shows the warning message that the user would see when this occurs.

A second example is Material Resource Planning (“MRP”) Generation in the Manufacturing Module. This task would prompt the user to let them know that the data in the MRP version will be cleared if they proceed. Figure 2 shows an example of this message.

If the User clicks the check box next to the prompt “Don’t Show me this message again” prior to answering the question, this message will no longer show for this user when they work through this process.

What if a user would like to see the message again when using a given task?

There is no way within the individual tasks to reset the message prompts. However, the user can clear their prior selections by utilizing the task User Preferences found in the System Manager module. When taking this approach, the system clears all prior message suppressions previously selected by the user. Messages do not have an option to be cleared individually. Figure 3 shows how a user can Rest all prior Message Suppression.

Can a system administrator review all prior message suppression

If a system administrator would like to review all Message Suppression in the system, they could do so by utilizing the below query seen in Figure 4. This will show all of the selections by each user and the related task and message that has been marked for suppression.

The administrator could reset this by clearing records from the table tsmMessageSuppression for a given user or for a given task after they have reviewed the data in this table.

The follow table shows an example of the results of the above query after messages were suppressed for the admin user in the Sage 500 ERP database for the tasks shown above.
