Within the Sage X3 software, Sales Order (GESSOH) is one of the many functions that allow users to clone existing documents to speed up the document creation process. However, sometimes management may want to restrict users from copying or creating new sales processes. Fortunately, there are steps that users can take to set up additional restrictions. These restrictions can prevent unauthorized personnel from cloning or creating new sales orders. By following the simple steps outlined below, users can protect their sales processes and ensure that their data remains secure.
*This is specifically for environments where the sales order number is automatically generated upon creation of a sales order.*
how to stop the cloning of documents
- Go to Development > Script dictionary > Screens > Screens
- Select 'SOH0' from the left list
- Go to the Fields tab
- Find the line for the SOHNUM field, and change the Input value to "Display"
- 'Enter' = allows the document to be copied
- 'Display' = viewing only
- Add an Activity code to protect your changes.
- Click 'Save'
- Click 'Validation'
**It's important to note that any changes made to the Sales Order function in Sage X3 will have a widespread impact. By setting the SOHNUM field to "Display" instead of "Enter," all users will be prevented from cloning or creating new sales orders. This restriction will apply to all sales order entry transactions, ensuring that your data remains secure and protected from unauthorized access. So, before making any changes, it's essential to consider the potential impact on all users and ensure that it aligns with your organization's overall security policies.**
